This privacy notice explains how we use any personal information we collect about you.

What information do we collect about you?

We collect information when you appoint us to undertake Planning or Architectural projects for you, or if you are involved with the same projects as us.  This information will relate to the information necessary to provide information planning advice, submit planning applications and appeals, deal with planning enforcement matters and other typical planning works.

Information about connected individuals

We may ask for information about professional, financial, planning use matters and personal circumstances in order to provide the various planning or architectural services effectively.  In such cases it will be your responsibility to ensure that you have the consent of anyone else concerned to pass their information to us.  We can provide them with a copy of this privacy notice if requested.

Why do we need to collect and use your personal data?

The primary basis for collecting the data is to enable us to fulfil our contract with you/our mutual clients.  Without this data we would be unable to work effectively for you.

How will we use the information about you?

We, along with other professionals we instruct on your behalf, collect information about you to provide you with the services for which you engage us.

Who might we share your information with?

We won’t share your information for marketing purposes with other companies.
In order to deliver our services effectively we may send your details to third parties such as those we engage for professional advice or input:  Local Planning Authorities or Private Building Control providers, Parish Councils, The Planning Inspectorate, Councilor’s, or highway, landscape, noise or ecology consultants, etc.

Where third parties are involved in processing your data we will have a contract in place with them to ensure that the nature and purpose of the processing is clear, that they are subject to a duty of confidence in processing your data and that they will only act in accordance with our written instructions.  That is unless you instruct the person/company direct.

How long do we keep hold of your information?

During the course of our working relationship we will retain personal data that is necessary for us to undertake our planning and architectural services.

We are also subject to regulatory requirements to retain data for specified minimum periods   This is typically:

  • Up to 6 years for all financial records
  • 3 months to 10 years for details of each project.  
  • We do not hold data longer than is required, unless asked to by clients.

You have the right to request deletion of your personal data.  We’ll comply with this request, subject to the restrictions of our regulatory obligations and legitimate interests.

How can I access the information you hold about me?

You have a right to request a copy of the information that we hold about you.  If you would like a copy of some or all of your personal information please email or write to us using the contact details below.

We have an obligation to ensure that your personal data is accurate and up to date.  Please ask us to correct or remove any information that you think is incorrect.
